The numbers, and what they actually cover

Tillster’s 2025 Phygital Index found that 61% of consumers now want more self-serve kiosk ordering in restaurants — up sharply from 36% just two years earlier — and that 76% of kiosk users said they ended up spending more than they’d originally planned. Those are genuine, recent, well-sourced findings, and they point at something real: customers increasingly like ordering their own way, at their own pace.

What they don’t tell you is whether a kiosk makes sense for your counter. That research is drawn overwhelmingly from higher-volume restaurant and quick-service settings, where a queue at busy periods is a routine, costly problem. A single-till independent cafΓ©, salon reception or clinic front desk is a genuinely different situation, and the same conclusion doesn’t automatically transfer.

When a kiosk earns its keep for a single site

A kiosk tends to make sense once you’ve got a specific, recurring bottleneck: a lunchtime queue that regularly costs you sales, a counter that has to handle both orders and payments during a rush, or a process (like a customer building a custom order) that takes a member of staff longer to key in than the customer would take themselves.

When a simple screen does the same job for less

Start with the job, not the screen

The businesses that get the most out of digital signage don’t start by asking “what screen should I buy?” — they start with a specific, recurring job: a price list that changes every time you add a treatment, a window that sits empty of marketing for sixteen hours a day, or a waiting room with nothing on the wall but a clock. A screen is the answer to a specific job like that, not a general upgrade.

What actually earns its keep

Three things consistently pay for themselves for a single-site independent business:

Digital menu and price boards. If you update pricing, specials or a treatment list more than a few times a year, a screen removes the reprint, the laminate and the call-out every single time — a nail salon adding a new treatment, a cafΓ© changing its specials board daily, a pharmacy running a seasonal health campaign.

Window-facing displays. A shopfront window is marketing space you’re already paying rent on, and a static poster only earns its keep until the next promotion. How a conversation with our Glasgow office ended with an enterprise Microsoft Teams Room fit-out in the City of London — 400 miles from our base, delivered on time and on budget with no sub-contractors.

The challenge

An ageing Surface Hub, a global sign-off chain, and a building that closes at 17:30

NTT DATA Business Solutions Ltd is part of NTT Group, one of the world’s largest IT service providers, headquartered in Japan with UK operations spanning Glasgow, London and beyond. Its City of London office hosts client meetings, executive sessions and international collaboration — through an ageing Surface Hub that had passed its useful life.

The replacement had to integrate properly with Microsoft Teams and perform to enterprise standard. The brief required a system that would:

  • Replace an ageing Surface Hub with a modern, fully integrated Microsoft Teams Room platform
  • Provide multi-camera coverage so everyone is clearly visible, in the room and on the call
  • Deliver professional-grade audio processing with no dead zones and no echo for hybrid meetings
  • Clear a multi-party approval chain: an IT Support Team Lead in Glasgow, an IT Infrastructure Manager in London, and NTT Global hardware sign-off
  • Install inside a short window in a central London building with restricted site access
Our approach

Options laid out honestly, not a single answer handed over

The project started with a conversation between EIS and NTT’s Glasgow-based IT Support Team Lead. Rather than arriving with one specified solution, we began with an in-person demo visit, photographed the existing boardroom, documented the operational requirements, and built a range of camera configurations — each with its own coverage profile, cost and trade-offs.

That gave NTT the information to make a decision rather than simply accept a recommendation. The selected Huddly configuration was then approved through NTT Global, a process requiring executive sign-off and global hardware authorisation, with EIS guiding the client through each stage.

A complete Microsoft Teams Room, staged in Scotland and delivered in London

EIS designed, supplied, installed and commissioned a complete Teams Room solution for NTT’s London boardroom. All equipment was sourced, staged and configured from our 6,300 sq ft bonded warehouse in East Kilbride before dispatch to London.

Delivery beyond the postcode

A City of London install, run from East Kilbride

The building closes at 17:30. NTT’s IT Infrastructure Manager arranged temporary access passes for the EIS team and stayed on site beyond building hours so installation could proceed without interruption.

Commissioning added a further complication: the Microsoft Teams Room account was registered under NTT Global and not accessible to the local London team, so it needed a one-time passcode obtained in real time during live setup. EIS resolved this in the room, on the day. The system was verified, tested and handed over without a return visit — completed in the week commencing 20 October 2025, on time and on budget.

What looks like a simple gooseneck microphone at each seat is usually the visible end of a networked system doing a lot more underneath — from speaking queues and camera tracking to, increasingly, the vote itself.

A delegate conference system is the network of individual microphone and control units — one per seat — that lets a chamber or boardroom manage who’s speaking, who’s requesting to speak, and increasingly who’s voting, all from one central point rather than a single shared microphone being passed around or left permanently live.

It’s a specific, well-established category of AV equipment, not a generic “microphone system,” and the distinction matters when it comes to specifying one: what looks like a simple gooseneck microphone at each seat is usually the visible end of a networked system doing a lot more underneath.

What a delegate unit actually does

Each position — whether a simple push-to-talk microphone or a full touchscreen discussion unit — is individually addressable on the network. That’s what allows a chairperson or an operator to control who’s live at any moment, set a limit on how many microphones can be open simultaneously to avoid a chamber talking over itself, and manage a speaking queue where delegates request the floor and are brought in in order. On a touchscreen unit, the same position can also carry electronic voting, agenda display and delegate identification — functions a basic microphone-only unit can’t support.

This is also what makes speaker-tracking cameras work automatically. A PTZ camera with auto-tracking isn’t guessing who’s talking from audio alone — it’s typically triggered by which delegate unit on the network has gone live, so the shot cuts to the correct person the moment they’re recognised as speaking, without an operator manually steering a camera.

Wired versus wireless: what actually decides it

Wireless conference systems have closed most of the reliability gap with wired installations, and remove the cabling cost and disruption of running a line to every seat — a real factor in a room like a council chamber that can’t be out of service for long. The trade-off is around interference management in a room with a lot of other wireless equipment already in use, and battery/charging logistics for units that see daily use. Wired systems remove that variable entirely at the cost of a cable to every position, which matters more in a new-build or a full refurbishment where containment is already being run than in a room being upgraded around a live meeting schedule.

In practice the deciding factor is usually less about signal reliability — modern systems handle that well either way — and more about installation constraints: whether the room can accommodate cable runs to every seat without disruptive works, and how often the seating plan itself changes.

How this connects to the rest of the room

A delegate system rarely sits on its own. The audio it captures typically routes through a DSP for acoustic echo cancellation before it reaches a hybrid meeting platform like Microsoft Teams or a public livestream — without that step, remote attendees get a noticeably worse experience than anyone in the room. The same network that manages speaking order is often what triggers camera tracking, and on touchscreen units, the same position that handles the microphone can carry voting. Specifying “a microphone system” in isolation, without accounting for how it needs to integrate with cameras, DSP and any voting or streaming requirement, is one of the more common gaps in an AV brief for this kind of room. Getting electronic voting right in a council chamber has less to do with the vote itself and more to do with the delegate conference system it runs on — and knowing exactly what to put in the brief so remote and in-room members vote on equal terms.

An electronic voting system ties each councillor’s vote to their seat automatically, records it without a show of hands or a roll call, and — done properly — treats a councillor joining remotely exactly the same as one sitting in the chamber. Getting that right is less about the voting button itself and more about the delegate system it’s built on top of.

Most of the questions that come up when a council is specifying this for the first time aren’t really about voting at all — they’re about the conference system underneath it, because that’s what makes a vote attributable, auditable and available to remote members in the first place.

How electronic voting is actually tied to a vote

In a modern chamber system, voting isn’t a separate device bolted on — it’s a function of the same touchscreen or keypad unit already sitting at each delegate’s seat for microphone control and discussion requests. Because that unit is registered to a specific, numbered position, a vote cast from it is automatically attributed to the correct councillor without anyone needing to call a register or count hands. Public versus private voting modes

A public vote — the outcome of a planning decision, a budget line, a motion — needs to show how each member voted, both in the room on a results screen and in the published minutes. A private or secret ballot, more common for internal appointments or sensitive personnel matters, needs the opposite: an aggregate result with no individual attribution visible to anyone, including whoever’s operating the system.

If a chamber’s system can only do one of these, it constrains what business can actually be conducted in that room, or forces a return to manual methods for anything the electronic system can’t handle discreetly. Specify both modes explicitly in the brief — don’t assume “electronic voting” as a single line item covers it.

What this means for accessibility and equal participation

A voting system that’s technically available to remote councillors but harder to use than being physically present isn’t really equal participation — it’s a workaround. The practical test is whether a councillor joining from home has to do anything different from one sitting in the chamber to cast a valid, correctly attributed vote. If the answer is “log into a separate portal” or “email the clerk,” the system hasn’t actually solved the problem it was bought to solve.

“ITIL-aligned” gets used a lot in IT support marketing. Here’s what it actually means in practice, not just as a phrase on a page.

ITIL, briefly. ITIL (IT Infrastructure Library) is a widely-used framework for how IT services should be structured, delivered and measured — covering things like incident management, problem management, and service level management. It’s not a certification your support provider either has or doesn’t; it’s a set of practices a provider can be more or less rigorous about actually following.

What it looks like day to day. In practical terms, ITIL-aligned support means: issues are logged and categorised by priority, not just handled in whatever order they arrive; there are defined response and resolution time targets for each priority level; recurring issues get tracked as “problems” to be fixed at the root, not just repeatedly resolved as one-off tickets; and performance against all of that is actually measured and reportable — KPIs you can be shown, not just told about.

Why this matters more than it sounds like it should. The practical difference between “we’ll sort it” and an ITIL-aligned service is what happens when something genuinely urgent comes in during a busy week. A framework with defined priorities means an urgent issue gets urgent treatment regardless of what else is in the queue — informal support, however well-intentioned, doesn’t have that structural guarantee.

What Is Device Staging and Imaging? A Plain-English Guide

If you’ve ever had thirty brand-new laptops arrive in their boxes and realised someone now has to spend two days setting each one up before anyone can actually use them, you’ve met the problem device staging solves.

What staging actually means. Before a device reaches its user, it goes through a standard build process: imaging (installing your standard operating system configuration and software set), enrolment into a device management platform so IT can manage and secure it remotely, asset tagging so it’s tracked from day one, and — where relevant — configuring it for a named user rather than leaving that as day-one setup work for whoever receives it.

Why “imaging” specifically matters. Imaging means every device leaves with an identical, known-good configuration — not thirty slightly different setups depending on who unboxed which one and what they happened to click through during Windows setup. That consistency is what makes support faster later: an IT team troubleshooting a known standard build finds problems faster than one troubleshooting whatever a user’s device happens to have ended up as.

Where this fits in a rollout. Procurement gets you the hardware. Staging is the step between “hardware exists” and “hardware is actually usable by the person it’s for” — and it’s the step that determines whether a rollout feels instant to end users or drags on for weeks as devices trickle out half-configured.

What good staging looks like at scale. For a handful of devices, staging can happen almost anywhere. For a genuine rollout — fifty, five hundred, a distributed workforce — it needs a proper facility, a repeatable process, and logistics that get the finished, configured device to the right person, not just the right office.

In-House IT vs Managed IT Support: How SMEs Should Decide

There’s a point in most growing businesses where “someone in the office who’s good with computers” stops being a sustainable IT strategy. The question is usually less “should we get support” and more “in-house, or managed.”

What in-house gets you. Someone who knows your systems intimately, is physically present, and is fully dedicated to your business. It also means you’re carrying one person’s (or one small team’s) availability, holiday cover, and skill gaps as single points of failure — and hiring for a broad enough skill set to cover networking, device management, security and day-to-day helpdesk is a genuinely hard hire at SME budgets.

What managed support gets you. A team rather than a person — so illness, holiday and skill gaps don’t become your problem — plus SLA-backed response times you can actually hold a provider to, rather than informal expectations. The trade-off is less day-to-day physical presence, though a good managed provider builds relationship and responsiveness that closes most of that gap.

The real decision point isn’t in-house vs managed as a binary. Plenty of organisations run a hybrid — a smaller in-house presence for anything genuinely site-specific, backed by a managed helpdesk for volume, escalation and out-of-hours cover. What matters is having SLA-backed response times and clear escalation paths either way, not just “call someone when it breaks.”

What to actually check before choosing a managed provider. Ask what “1st line” and “2nd line” actually mean in their service, what the response time commitments are by priority, and whether that’s measured against real KPIs or just described as a general aim.
